ATTENDANCE & CANCELLATIONS: Payment must be made for all lessons/classes, whether taken or missed.
Make-up lessons/refunds will not be given in the case of student absence. As a courtesy to the teacher, we ask that the school office be notified by text to 085 7213077 if a student is to be absent. If a student is more than 15 minutes late the teacher may cancel the lesson.
If a student cannot come to their lesson, the lesson is non-transferable to another family member or any other individual.
If the teacher is unable to give a lesson or class, the student will be given a make lesson up with their teacher or substitute teacher.
Teachers are contracted and paid for the time they are booked to be at the school for your scheduled lesson. Repeated late payment, (please note payment dates on your chosen payment plan), or non-payment, will result in termination of lessons and your place may be allocated to a student on the waiting list.
PARKING AT DSM: The health and safety of our students and teachers is our top priority, and we do everything we can to ensure that the School remains a safe space for music study. * Please read additional Health & Safety Policies here.
Please respect the following:
Parking is strictly forbidden across the front of the school doors or along the doors of neighbouring buildings as it creates a serious risk of accident for children exiting the premises. Please use designating parking spaces only.
COMMUNICATION: Communication with adult students or parents is normally by email or text message. Please add the School’s mobile phone number 085 7213077 to your phone contacts and info@dundalkschoolofmusic.com to your email contacts. Please ensure that we have up-to-date contact details for you, especially your email address and mobile phone number, and check your emails on a regular basis.
FEE PAYMENT: We accept full tuition fee payments, payment plan fees and deposits with credit/debit card or cash. We will issue your invoice via email prior to the due date. If paying with credit/debit card, you can do so by phone to 085 7213077 on, or before, the due date. If we miss your call we will call you back.
Alternatively you can pay by cash or card in-house - at the start of your lesson only please.
PAYMENT PLANS: Students enrolled for private lessons, partner or small group lessons are eligible for payment plans.
Students who pay by instalments have an agreed date of payment.
• Note that place-hold deposits/fees paid on instalment payment plans are non-refundable and non-transferable in any event.
LATE PAYMENTS: Where payment is not received by the due date, an administrative late payment fee of €10 will automatically be generated and will appear on your next invoice and issue a reminder.
Payment not received two weeks after your payment due date, may result in termination of lessons and your place may be allocated to a student on the waiting list. Late payments will incur a €10 administration charge. Refunds are not offered in the event of withdrawal from lessons booked. Pre-paid fees will not be refunded and you will be required to re-enrol if you want to return, should a place be available.
Pre-paid lessons will not be rescheduled or refunded.
SUPERVISION: Children are under supervision during their instruction time only. To ensure your child's safety, please ensure to drop pick him/her off just before their lessons time and pick up promptly at lesson end time.
Teachers are not responsible for supervising children outside of the student's lesson time.
COMMUNAL AREA: The 'numbered' chairs in school 's communal area are designated for students waiting on their lesson.
We regret that parents/guardians/siblings or others are not permitted to remain in the school while lessons are taking place.
It is our intention to revert this policy in the future subject to the current pandemic conditions ending.
CONDUCT: Students of the Dundalk School of Music are expected to behave in a responsible manner and with due regard for their health and safety, as well as the health and safety of other students and teachers. Students may not enter classrooms without permission, and may do so only for their lessons. Food / gum may not be consumed on the premises.
School Property: Students will be held responsible for, and will be required to make good any damage they cause to equipment, apparatus, furniture, fittings or structure of the school.
Injury of Students: The Director cannot be held responsible for injury to any student caused by the student’s own negligence or disregard on the part of any student or students.
MOBILE PHONES: We ask all school students to turn off mobile phones during lessons or classes unless they are waiting for an emergency call or using them, with their teachers’ permission, to record the lesson or class. When recording a lesson or class, we ask students to mute their phones or put them into ‘airplane’ or ‘flight’ mode.
Students, parents/guardians and visitors are forbidden to take photographs or video recordings unless they have express permission from the Director.
DISCONTINUANCE: Tuition refunds for private lessons for students paying yearly can be made up to the second scheduled lesson. A full refund will be issued, minus the cost of lessons taken plus the cost of an additional three lessons. No refund will be made after the second lesson - applicable in all payment options.
Notice of withdrawal from private lessons and requests for refunds must be made in writing, by email or brought/posted to the school office. Please include the reason for your withdrawal in your message. And please understand that verbal notice from students, parents or teachers is not an acceptable form of notification. No refunds will be issued after the second lesson has taken place. There are no refunds/ transfers on payment plan options.
The Dundalk School of Music reserves the right to withdraw the enrolment of any student who misses three consecutive lessons without notification.
PHOTO – VIDEO RELEASE POLICY: From time to time we take photographs of students in lessons, courses or concerts for possible use on our website, social media and other publications. No compensation is provided to individuals who appear in the photographs. Occasionally we also film school concerts and showcases for the school’s YouTube channel.
*It is your responsibility to let us know via email if you do not wish your own or your child’s photograph to appear on our website, publications and/or on our social media pages.
Photos / videos may NOT be taken by parents, students or others at the school, without the express permission of the school director.
SCHOOL CLOSURE – SEVERE WEATHER: The decision to temporarily close the School due to severe weather will be determined by government advisories.
Please note that although we will endeavour to do so, we may not be able to contact all students or parents regarding emergency closure. Please check our website home page or our Facebook or Instagram pages for updates. All lessons will be made up during the next available date as arranged by the individual teachers. No refunds will be given on lessons missed if you can’t make your make up lesson.
Lessons missed by students will not be rescheduled or refunded if the school remains open.
ENROLMENT / RE-ENROLMENT: Enrolment for lessons and courses requires a completed enrolment form and applicable deposits and or fees. We are unable to hold places provisionally without payment of fees.
• Private Lessons. Although we schedule new students in order of enrolment and make every effort to suit student preferences, scheduling of private lessons will depend on available time slots with the most suitable teacher(s).
• Partner and Small Group Lessons. Students enrolling for partner lessons (two students) and small group lessons (three or four students) are responsible for forming their own groups. Booking partner and small group lessons cannot be confirmed until enrolment forms and tuition fees are received from all group members.
For the new school year, we require that all students – those re-enrolling as well as those new to the school – fully complete new enrolment forms. GDPR data protection legislation means that we cannot apply students’ enrolment information from the previous year to the new school year.
HEALTH CONDITIONS/ LEARNING DIFFICULTIES: The school must be informed if a student suffers from any long term, serious illness or allergy, or if they are on medication. It is particularly important that teachers know if a student suffers from asthma, diabetes or epilepsy so that they can respond as required in the event of an unexpected attack.
It is also important that teachers are alerted to any hearing, sight or learning difficulties that might affect a student's ability to respond in a lesson. Of course such information will be treated confidentially.
SEASONAL/ OTHER ILLNESS SYMPTOMS: If a student suffers from what is termed an 'officially' contagious illness' (e.g. measles, chickenpox, flu, mumps, etc.) we must be informed immediately. To prevent the spread of contagious illnesses, students should not attend classes if they are feeling unwell. Teachers reserve the right to not teach a student who appears unwell.
Out of consideration for others, please do not come yourself nor bring your child to the lesson if signs of illness are evident (i.e. fever, sneezing, coughing, red eyes, sore throat, etc.)
In the interest of best business practices the Dundalk School of Music reserves the right to amend the above policies. at any time.
It’s really important to us that you know how everything works at Dundalk School of Music. Please take some time to read through the school Policies for students enrolled at the school.
